Required Qualifications (as evidenced by an attached resume):
Bachelor’s degree (foreign equivalent or higher). Four years of directly related full-time experience in a project management capacity. PMP Designation or the incumbent will be expected to take the PMP exam by the completion of their 1st year of employment.

Preferred Qualifications:
Five or more years of directly related full-time experience in a project management capacity. Experience using key methodologies such as ITIL, PMBOK, PRINCE2, and/or Agile. Experience with project management tools (e.g. MS Project Online, SharePoint, Cherwell, ServiceNow, etc.).

Brief Description of Duties:
The Senior Project Manager is expected to lead complex projects involving administrative, academic or clinical processes and systems. The incumbent must plan, execute, and complete projects according to PMBOK (Project Management Book of Knowledge) standards, observing strict deadlines and completing work within budget. This includes acquiring resources and coordinating the efforts of team members and third-party contractors or consultants in order to deliver projects according to plan. The Project Manager will also define the project’s objectives and oversee quality control throughout its lifecycle. The incumbent must motivate and engage project teams to accomplish challenging goals and objectives, managing multiple demands and multiple projects at once. The incumbent will use communication, presentation, facilitation and analytical skills and will remain organized with reliable follow-through on tasks. The incumbent will communicate with all levels of stakeholders in IT and business.

Direct and manage project/program development from beginning to end.

  • Work with University project teams to ensure the successful delivery of projects and their expected business benefits, based on PMO project management guidelines and best practices, through the entire project lifecycle by defining scope, goals, and deliverables that support business goals. Effectively lead and facilitate meetings with a variety of groups, including project teams, senior leadership and external vendors.
  • Develop full-scale project plans including project documentation. Estimate the resources and participants needed to achieve project goals, making sure they are in line with business objectives. Draft, submit and manage budget proposals and further define aspects of the project, arrange for recruitment or assignment of project personnel to the project team, including external consulting help when needed.
  • Set and continually manage project expectations with team members and other stakeholders, ensuring accuracy, quality, and integrity of the information, while providing consistency in content and “look and feel” across the enterprise. Delegate tasks and responsibilities to appropriate personnel. Identify and proactively resolve issues and conflicts within the project team. Identify and manage project dependencies and critical path. Manage changes in project scope, identify potential crises and devise contingency plans.
  • Plan and schedule project timelines and milestones using appropriate tools. Define and track project success criteria, including milestones and deliverables. Develop and deliver progress reports, proposals, requirements documentation, and presentations. Determine the frequency and content of status updates from each working team in the project, analyze results, and troubleshoot problem areas.
  • Direct and manage multiple, concurrent programs, which consist of numerous projects being managed in a coordinated manner to obtain benefits and control that would otherwise not be available by managing them individually. Actively manage and mitigate project risks and issues, identifying migration strategies and contingency plans.
  • Lead, coach, mentor, motivate and supervise project team members and contractors throughout the project lifecycle, building and growing business relationships vital to the success of the project, influencing them to take positive action and accountability for their assigned work. Review/approve contracts, Statements of Work, and work plans of external service providers or consultancies contracted to execute the project.
  • Continuously benchmark project management performance to identify improvements and achieve higher capability maturity in PPM. Conduct project retrospective sessions and create a recommendations report in order to identify successful and unsuccessful project elements. Develop best practices and tools for project execution and management. Support fellow Project Managers, and supervise, support, and advise student(s) who work in roles supporting the Project Managers.
  • In the performance of all job duties, at all times be responsible for delivering optimal customer service, for protecting institutional data and privacy, and the excellent delivery of solutions and services by following divisional and University policies, procedures, and processes.

Manage Project information in the Project Portfolio Management (PPM) system.

  • Ensure all artifacts are created and signed off at appropriate times based on the PM Framework. Establish new processes, procedures and best practices for the PMO group including a project prioritization and governance model that the executive committee and the PMO will utilize. Navigate project hierarchy to facilitate decision-making, issue escalation or resolution, and status communication within a project, in coordination with IT Governance.
  • Develop content for enhancing PPM and PMO websites, maintaining monthly updates for each project; integrate project specific calculations and metrics. Define KPIs for projects managed by the PMO.

Other duties or projects as assigned as appropriate to rank and department mission.

Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.

Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed. Positions that are designated as such may be required to report to work/remain at work even if classes are cancelled, and the campus is working on limited operations in an emergency.
