Position Summary

This position is a key partner in critical business processes, development of policies and strategies and focuses on administrative systems in service of the objectives for Strategic Enrollment Management (SEM).  As a vital technical stakeholder, provide leadership in the implementation, development, and maintenance of student information and course scheduling systems. Promote technology advances by managing projects that require researching, assessing and implementing initiatives for all student related systems.

Description of Duties

  • Research, retrieve, manipulate and analyze data at an advanced level using Uniquery, Entrinsik Informer, Microsoft Access & Excel from conceptualization through presentation. Effectively diagnose, evaluate and resolve simple and complex data integrity issues. Through collaboration with the Office of the Registrar and Records, and other departments (i.e. PAR, EOF, Admissions, Financial Aid, Academic Vice President, TLC, Institute Offices, CPS) develop and understand report specifications for ad hoc and standing data requests. Develop appropriate methodologies for collecting, analyzing, and presenting data for internal constituents and as needed to external organizations. 
  • Provide high level technical support to all areas of Student Affairs and Academic Affairs including but not limited to Advising, Office of the Registrar and Records, Athletics, Disability Services, Admissions, Institute Offices and Faculty as related to student information systems.
  •  Provide supervisory oversight, troubleshoot technology related issues and support coordination of academic and non-credit scheduling staff and processes associated with the Office of the Registrar and Records Office.  Provide backup functional support in the absence of the Manager-Student Records or Scheduling Administrator performing various responsibilities of their positions to include Clearinghouse information retrieval, review and submissions and NSLDS information queries.  Ability to create Degree Audit Syntax and facilitate related course movements/substitutions.
  • In collaboration with Information Technology Services, serves as liaison to ERP software providers to troubleshoot complex issues with Colleague and its ancillary systems. 
  • Participate in student system upgrades and software updates for multiple applications by reviewing technical documents; determining impacted areas; performing system testing in a test & production environment; identifying and reporting issues; advising decision of final approval for implementation in production environment.
  • Troubleshoot all technical issues encountered by the staff & and administrators in the Office of the Registrar and Records.
  • Ensure compliance with federal and state regulations by recommending policy and procedures, and implementing required processes. Maintain confidentiality and privacy, in full compliance with the Family Educational Rights and Privacy Act (FERPA).
  • Perform other related duties and responsibilities as assigned.

Minimum Qualifications

  • Bachelor’s Degree required, degree in Computer Science, Business Technology or related field preferred.
  • Minimum three years experience in information systems and/or quality management preferably in a higher education setting.

  • Excellent organizational, planning and project management skills, as well as versatility, flexibility, and problem-solving ability. 
  • Strong user-facing skills with the ability to understand both business needs and the underlying technologies to support them in a higher education environment.
  • Strong communication, interpersonal, and organizational skills.
  • Must be computer literate with ability to utilize Microsoft Office at an intermediate level and the ability to learn and utilize specific higher education programs and systems
  • Experience with Clearinghouse processing, submissions and compliance.
  • Ability to learn and apply office practices, procedures, policies, and regulations that are essential to the position.
  • Ability to travel within the county and state.
